Every couple starts wedding planning with the same goal: create an unforgettable day that reflects who they are while staying within budget.
Most weddings don't go over budget because couples are careless. They go over budget because there are dozens of hidden decisions that first-time planners simply don't know to anticipate.
At ERIA, we've planned weddings ranging from intimate waterfront celebrations to multi-day wedding weekends throughout Northern California. Along the way we've seen the same planning mistakes appear again and again.
Fortunately, every one of them can be avoided.
If you're planning your wedding in Sausalito, San Francisco, or anywhere in the Bay Area, these are the mistakes worth avoiding.
1. Booking Your Venue Before Setting a Budget
Your venue determines almost every other decision you'll make.
Before scheduling venue tours, decide:
- Your overall budget
- Guest count
- Top three priorities
- Who is contributing financially
Once those numbers are clear, venue shopping becomes significantly easier.

2. Choosing a Venue Only Because It Looks Beautiful
Instagram photos don't show:
- Parking
- Accessibility
- Rain plans
- Catering logistics
- Vendor access
- Sunset timing
- Sound restrictions
A beautiful venue should also function beautifully.

3. Underestimating the Cost of the "Little Things"
Many couples budget for:
✔ Venue
✔ Catering
✔ Photography
But forget:
- Transportation
- Vendor meals
- Gratuities
- Welcome bags
- Hotel blocks
- Marriage license
- Alterations
- Overtime
- Late-night snacks
These expenses often add thousands of dollars.
4. Waiting Too Long to Book Vendors
The Bay Area's most sought-after vendors often book more than a year in advance.
Reserve early:
- Photographer
- Videographer
- Entertainment
- Florist
- Hair & Makeup
- Rentals
If someone is your first choice, don't wait.
5. Forgetting About Guest Experience
Guests rarely remember the napkins.
They remember how they felt.
Ask yourself:
Was parking easy?
Were there enough places to sit?
Did cocktail hour feel too long?
Could everyone hear the ceremony?
Was the timeline comfortable?
Great weddings prioritize guests without sacrificing personality.
6. Trying to DIY Everything
DIY can absolutely save money.
It can also create unnecessary stress.
Ask yourself:
"Will I want to assemble centerpieces at 11 p.m. the night before my wedding?"
Usually the answer is no.
Choose a few meaningful DIY projects instead of trying to make everything yourself.
7. Ignoring Bay Area Traffic
This is one of the biggest mistakes we see.
Driving from San Francisco to Sausalito on a Saturday afternoon is very different from driving on a Tuesday morning.
Always build extra transportation time into your timeline.
8. Not Reserving Hotel Blocks
If more than twenty guests are traveling, reserve hotel rooms early.
Excellent Sausalito options include:
Luxury
- Cavallo Point Lodge
- Inn Above Tide
Boutique
- Casa Madrona
- Hotel Sausalito
- Waters Edge
Providing recommendations makes the experience much easier for your guests.
9. Forgetting About the Wedding Weekend
Your wedding is only one part of the experience.
Think about:
Welcome party
Rehearsal dinner
Morning coffee
Brunch
Local activities
Some favorite rehearsal dinner locations include:
- Poggio
- Copita
- The Trident
- Scoma's
- Le Garage
10. Creating an Unrealistic Timeline
Everything takes longer than expected.
Hair and makeup.
Family photos.
Guest arrivals.
Bustle adjustments.
Signing the marriage license.
Build extra time into every part of your schedule.
A relaxed timeline creates a relaxed wedding.
11. Choosing Every Vendor Based on Price
Budget matters.
Value matters more.
The least expensive vendor isn't always the least expensive after overtime, upgrades, replacements, and additional rentals.
Hire professionals you trust.
12. Forgetting Vendor Meals
Photographers.
Videographers.
Musicians.
Planners.
Production teams.
Many vendors are working 10–14 hour days.
Providing meals keeps everyone energized and is often required in vendor contracts.
13. Never Visiting the Venue Again
Don't stop after your first tour.
Visit again.
Walk through:
Guest arrival.
Cocktail hour.
Sunset.
Reception.
Departure.
Every visit reveals details you didn't notice before.

14. Forgetting the Rain Plan
Especially for waterfront weddings.
Ask:
Can cocktail hour move inside?
Where will guests wait?
Will photography locations change?
Having a backup plan doesn't make rain more likely.
It makes unexpected weather much less stressful.
15. Not Thinking About Sunset
Golden hour creates the best wedding photographs.
Work backwards.
Schedule your ceremony based on the season rather than simply picking a convenient time.
Your photographer will thank you.
16. Micromanaging Every Detail on the Wedding Day
At some point planning has to stop.
Trust your vendors.
Put your phone away.
Let someone else answer questions.
Your only responsibility should be enjoying one of the biggest days of your life.
17. Waiting Too Long to Send Save-the-Dates
Guests often need to:
Book flights.
Reserve hotels.
Request vacation time.
Arrange childcare.
For Bay Area destination weddings, sending save-the-dates eight to twelve months in advance gives guests plenty of time to plan.
18. Skipping a Planning Checklist
The easiest way to forget something is to rely on memory.
Use one master planning document for:
Budgets
Vendor payments
Guest lists
RSVPs
Floor plans
Rental orders
Timelines
Keeping everything in one place prevents small details from becoming big problems.
Final Thoughts
No wedding is completely perfect.
Someone will probably arrive late.
Someone may forget cufflinks.
The flower girl might decide she doesn't want to walk down the aisle.
None of those moments determine whether your wedding is successful.
Your guests will remember how welcomed they felt, how much they laughed, and the joy they shared with you.
If your guests leave saying, "That felt like them," you've done everything right.
